Equipment and Parts Purchasing Specialist (Finance)



Job Description

Summary/Objective:
The Equipment and Parts Purchasing Specialist is responsible for executing the day-to-day purchasing activities for the forestry, heavy-duty equipment, vehicle parts, accessories, and warranty management tracking.
Essential Functions:
Procure parts for all light, medium, and heavy-duty trucks, heavy duty equipment, and trailer repairs.Responsible for the purchase order process from initial quote preparation to final verification as well as authorizing payments for purchases and reconciling paperwork against delivered items.Manage supplier relationships by acting as the main contact for timely resolution of pricing, quality, quantity, delivery, and invoice issues.Create supplier files with contact information, credit terms, and vendor information.Maintain inventory accuracy, cycle counts, core and parts returns, and conduct inventory counts. Maintain a clean and organized inventory storage area, with a label system.Have knowledge about truck and heavy-duty equipment components well enough to accurately convey information to parts vendors.Think outside the box when procuring out-of-stock and discontinued parts needed for repairs; research and provide alternative sourcing options.Assist in enforcing standard safety precautions and addressing occupational hazards.Work closely with the Equipment Shop Manager on all purchase requests, conveying prices and delivery times, in order to schedule fleet repairs.Track and maintain accurate pricing of all inventory parts and supplies.Monitor and follow up on supplier orders.Pick up parts from various vendors when necessary.Process returns to vendor claims when warranted and follow up on refunds.Address and resolve supplier discrepancies, or incorrect parts sent in error.Coordinate freight bill verifications and payment approvals for all shipping costs.Produce weekly updates and progress reports. Other duties as assigned.

Work Environment:
All work is performed either inside a machine shop with open bay doors, or outside in various types of weather (i.e. heat, cold, wind, sun and inclement weather, etc.).Exposure to all types of automotive solvents.Exposure to all elements of nature on a regular basis.Exposure to loud noise.Exposure to fumes, odors, gases, dust, etc.
Physical Demands: The physical demands below are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Must have good visual and auditory physical capabilities in order to manage sight and sounds in a hazardous machine shop environment.Specific vision abilities required by this position include close, distance, peripheral, depth perception, and ability to adjust focus.Coordination between hands, eyes, and feet to guide equipment and objects is required.Occasionally sit; frequently stand, walk, stoop, kneel, and crouch; normal manual dexterity and eye-hand coordination.Must be able to push and pull with hands, arms, and feet repetitively.Must be able to push, pull, climb, sit and stretch regularly while performing the essential functions of the job.Must be able to be alert and cognitive of multiple concurrent activities, including awareness of other employees, subcontractors, machinery, equipment, and moving traffic when applicable.Must be able to work around loud noises.Must be able to mount and dismount safely off vehicles and equipment.Must be able to wear appropriate personal protective equipment.Must be able to work overtime as requested.Must be able to walk on uneven terrain.Must be able to lift and carry up to 60 pounds.
Travel Required:
Position travels outside the local area but usually within Northern California 10-20% of the time.
Required Education and Experience:
High School diploma or equivalent, or equivalent work in a vocational Diesel or Automotive program.2 years supervisory experience.Must be mechanically inclined.
Preferred Education and Experience:
Heavy Equipment Mechanic experience: 5 yearsFleet Mechanic experience: 5 years A job for which military experienced candidates are encouraged to apply.
Additional Eligibility Requirements:
Must have a valid Drivers License.Must provide a clean driving record: 5 years May be required to drive personal vehicle to multiple worksites during the workday. Proof of current/active automobile insurance if driving personal vehicle and assigned to multiple sites. Must pass a pre-employment drug screen.Cellphone for communication and scheduling.
