Position Summary
We are seeking a highly analytical, operations-minded LTL Invoice Resolution & Operations Specialist to join our dynamic and growing LTL division. This fully remote role plays a pivotal part in MODE's financial performance and operational health by managing invoice disputes, identifying and resolving systemic issues, and driving strategic improvements in carrier engagement, process automation, and service optimization.
This high-visibility, cross-functional position will directly support our carrier strategy, system development initiatives, and internal compliance efforts. The role will partner with our agent network, carrier representatives, and internal departments (Operations, Finance, Technology) to streamline workflows, resolve disputes, and elevate MODE's LTL service execution.
Key Responsibilities
Invoice Dispute Resolution & Financial Accuracy
- Play an integral role in resolution of LTL invoice discrepancies, including reclassifications, reweighs, accessorials, NMFC disputes, and duplicate billing.
- Secure documentation from carriers (W&I certificates, BOLs, inspection reports) and maintain thorough audit trails for each dispute.
- Analyze disputed invoices to identify trends in recurring issues and recommend corrective actions.
- Carrier Engagement & Performance
- Host recurring performance and billing review calls with key carrier partners to accelerate dispute resolution and reduce invoice cycle time.
- Monitor carrier compliance with contracted rates and accessorial terms, escalating persistent discrepancies to Carrier Management.
- Participate in quarterly business reviews (QBRs) to provide insight on carrier invoice trends, root causes of errors, and recovery opportunities.
Operational Process Optimization
- Identify process gaps and inefficiencies in LTL invoicing workflows; develop SOPs and automation enhancements to reduce touchpoints and errors.
- Partner with Technology and Product teams to improve TMS and integrations for more accurate audit, rating, and document capture.
- Assist in onboarding and configuring new carrier profiles to ensure proper invoicing alignment from day one.
Reporting, Compliance, and Internal Support
- Track and report on invoice resolution KPIs, including dispute resolution timelines, dollar recovery rates, and DSO impact.
- Serve as a subject matter expert for field operations on NMFTA classifications, shipment documentation standards, and dispute filing protocols.
- Provide training to agent offices on LTL invoice prevention strategies, proper BOL formatting, and the importance of dimensional accuracy.
Qualifications
- 3-5+ years of hands-on LTL experience in auditing, pricing, or carrier-facing roles (3PL or carrier side)
- Advanced understanding of NMFC classification logic, reweigh policies, and accessorial pricing structures
- Strong Excel skills (pivot tables, VLOOKUP, data cleaning) and comfort handling large data volumes
- Experience with TMS platforms, EDI workflows, and carrier invoice portals
- Demonstrated ability to influence without authority and communicate effectively across teams and levels
- Detail-oriented mindset with the ability to prioritize, follow through, and deliver results in a deadline-driven environment
