Surgery Scheduler/Admissions Coordinator (Healthcare)



The Surgery Scheduler/Admissions Coordinator is responsible for coordinating surgical scheduling, verifying insurance coverage, and admitting patients for surgery. This role ensures accuracy in scheduling and documentation, communicates with patients and staff, and facilitates the financial and administrative processes necessary for smooth patient care. The position requires strong attention to detail, effective communication skills, and the ability to work collaboratively with both patients and the healthcare team.

JOB SPECIFIC DUTIES AND RESPONSIBILITIES:

Coordinates surgical scheduling by entering procedures, maintaining accurate records, and communicating schedule changes.
Verifies patient insurance and benefits, including calculating and explaining patient responsibility.
Prepares patient admissions by verifying demographic, insurance, and consent information.
Collects patient payments, maintaining accurate receipts and documentation in accordance with policy.
Supports patients and families by providing information on scheduling, billing, and medical records processes, and coordinates with financial counselors or social workers when needed.
Ensures documentation accuracy by entering and maintaining data in EMR systems while protecting confidentiality.
Collaborates with physicians, nurses, billing specialists, and other staff to ensure smooth patient flow and scheduling.
Maintains compliance with CARTI protocols, policies, and safety standards, and participates in training and system/process improvements

EDUCATION, CERTIFICATION, LICENSURE and REGISTRATION:

High school graduate or GED, required
Associate degree in health administration, or related field, preferred.
Valid Arkansas driver's license required.


EXPERIENCE, KNOWLEDGE, SKILLS, and ABILITIES:

Two (2) years of ambulatory surgery center or hospital experience with procedure scheduling, preferred.

Medical or surgical office experience acceptable.

One (1) year of insurance verification experience, required.
Knowledge of medical terminology and familiarity with medical diagnostic procedures required.
Proficiency in EMR systems preferred.
Strong computer skills and basic office equipment proficiency required.
Excellent time management, organization, and communication skills required.


REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, or schedule form.


INTERPERSONAL SKILLS:

Must interact and communicate both verbally and in written form.
Must interact and exchange information regarding patients with physicians and other departmental personnel, and outside agencies on a frequent basis while respecting the confidentiality of patient information.
