Academic Program Specialist (Finance)



The Academic Program Specialist assists with self-funded accounts, registration, graduation, certification and scheduling for COPH. The incumbent performs specialized administrative work in support of an academic department, school or college. This position provides administrative coordination for assigned undergraduate and/or graduate programs, serving as a point of contact to students, prospective students, and faculty on matters related to course management and enrollment, program requirements, policies and procedures, and other administrative matters.MINIMUM:

This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

PREFERRED:

Experience in BANNER. Experience building courses in BANNER. University experience with course scheduling, registration, graduation and graduate certificates.

SPECIAL SKILLS/TRAINING:

Proficient in Word and the basic functions of Excel

FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.

Understand and implement use of historical data for future scheduling needs. Create reports that are sent out to other college units weekly. Audit schedule for accuracy, this includes classroom placement, 25live, faculty/department match and fees and attributes. Manipulation access in 25live. Create reports and audit classroom placements.

Work in Archivum and the shared email boxes; issue permits for contract courses and overrides for all restrictions. Assist students and faculty with determining the appropriate permit or override needed for student registration.

Assist with graduation certification. This includes student communication, printing transcripts and plans of study, conducting degree audits, verifying courses substitutions, course transfers, student enrollment and the CPH exam.

Verify student eligibility and register reduced rate students. Work with other University departments to remove holds, add attributes and assist with residency status. Audit reduced rate courses, attributes and fees. audit reduced rate students for attributes and correct course enrollment.

Trouble shoot and manipulate student academic records. Provide advanced customer service to students, faculty and staff.

Serve as one of the PPOs for B-W-COPH in Banner Document Management Suite (BDMS), the University document storage and workflow system. Scan and index all paper forms received by the unit. Assist with training others on BDMS.
