Your Impact

Supporting the day-to-day operations of HearstMade, the in-house branded content studio for Hearst Magazines, this role works under the guidance of the Associate Director of Creative Operations. Responsibilities span a mix of operational and administrative tasks that ensure smooth business functioning—ranging from freelancer onboarding and monthly financial reporting to Airtable troubleshooting and data analysis support.

What You'll Do: 

Freelancer Onboarding & Management

  • Coordinate onboarding for freelance talent including writers, photographers, and temporary roles.
  • Collaborate with internal teams (Legal, Finance, HR, and Creative) to ensure timely and accurate onboarding aligned with project needs.
  • Track all freelance engagements and manage monthly financial allocations for reporting.
  • Ensure accurate role classification in close partnership with Legal and HR.

Finance & Payroll Support

  • Collect and process invoices for internal editorial talent through payroll.
  • Assist in tracking and closing out project budgets across the team.

Data & Analytics Support

  • Support reporting and analysis efforts using Airtable and Google Analytics.
  • Troubleshoot Airtable issues and assist team members with tool functionality. 

Pre-Sale Support

  • Assign RFPs to appropriate stakeholders across the team.
  • Provide pricing support during pre-sale efforts for talent and production.

Team Operations

  • Submit and manage IT support tickets to maintain team operations.
  • Maintain and organize the team's Google Drive for consistent file management.

Who You Are: 

  • 2–3 years of experience in business operations, project coordination, or related fields.
  • Detail-oriented and proactive.
  • Strong organizational and communication skills.
  • Familiarity with Airtable, Google Analytics, and general workflow/project management tools.
  • Ability to multitask in a fast-paced, deadline-driven environment.
  • Comfortable collaborating with cross-functional teams and external vendors.

Compensation: The base salary for this role is between $66,000 - $80,000. The actual base pay offered is dependent upon many factors, such as: transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future.

Location: This role is currently based in the NYC office at least 3 days a week. No remote option.
