Meeting Planner, Member Services (Finance)



Schedule
This position is eligible for a hybrid work schedule, with a minimum of three (3) days in-office based out of our West Sacramento office and two (2) days working remotely.

Summary
The California School Boards Association (CSBA) is seeking a motivated and detail-oriented Meeting Planner to join our dynamic team. In this role, you will plan and execute a variety of events, trainings and conferences that support CSBA's mission of advancing education governance. Reporting to the Director, Conferences, you'll manage event logistics, vendor relationships and budget tracking while ensuring high-quality experiences for our members and stakeholders; performs a variety of other duties as assigned.

Essential Duties & Responsibilities

Coordinate and facilitate logistics for meetings, conferences and events including venue, catering, A/V, accommodations and technical support.
Collaborate with CSBA departments and external vendors to ensure smooth execution of event deliverables.
Manage vendor relationships and contracts, including sourcing, RFPs and post-event evaluations.
Maintain timelines and lead planning meetings to ensure event milestones are met.
Provide high-level customer service to members, vendors and public stakeholders.
Analyze event data and feedback to recommend and implement improvements.
Develop and maintain comprehensive documentation including procedure manuals and event policies.
Assist in budget development and monitoring for events and conferences.
Travel within California to provide on-site event support; occasional overnight travel is required.
Limited vacation during peak periods.
Performs other duties as assigned.


Qualifications

Associate degree or higher in business administration, event management or a related field.
At least three (3) to five (5) years of experience planning and supporting events, meetings or programs.
Strong knowledge of event cycles, vendor sourcing and logistics planning.
Excellent organizational and time management skills with the ability to juggle multiple priorities.
Proficient in Microsoft Office and event planning tools; experience with databases is a plus.
Strong written and verbal communication skills; customer service mindset.
Ability to travel throughout California and work occasional evenings or weekends during events.
Ability to complete basic business mathematics and statistical techniques for event analysis and reporting.
Effective communication techniques for providing customer service and collaborating with stakeholders.
Ability to be in an office environment that is primarily sedentary, in a controlled office environment with moderate noise levels and no direct exposure to hazardous physical substances.
Ability to sit at a computer for extended periods, use office equipment and lift up to 25 pounds.
Ability to occasionally travel required for conferences and meetings throughout California, including overnight stays.
Ability to work occasional evenings, weekends, and holidays, may be necessary based on event schedules.


Supervisory Responsibilities

· May supervise event temporary staff, independent contractors, third party suppliers, and vendors responsible for venue preparation, audio-visual resources, food and beverage, accommodations or other event-related services.
